As a member of the Canadian Accredited Independent Schools (CAIS), Elmwood School undergoes a rigorous set of external inspections in order to ensure we meet or exceed established standards across a wide variety of metrics. One of the requirements that the CAIS standards ask for is a comprehensive volunteer policy for our community.
Most of our volunteers do not have regular or direct one-on-one contact with students. We refer to these volunteers as Level 1 volunteers. Prior to the start of their first volunteer activity, they are required to complete a Volunteer Offence Declaration Form, to be completed online when they apply to be a volunteer through the tab below. For subsequent school years, the form is to completed annually, at the beginning of the school year or when the volunteer opportunity arises.
For volunteer situations which might involve regular and/or direct contact with students which the Head of School deems to have limited teacher supervision parameters (eg. one-on-one), a Police Vulnerable Sector Check (PVSC) is required. We refer to this as a Level 2 activity and some examples are working in the Uniform Shop, assisting with coaching or working with Elmwood Theatre productions. Please read the Volunteer Policy for examples of Level 2 Volunteers. A PVSC is required prior to the start of the volunteer activity. For subsequent school years, Level 2 volunteers need to complete the Volunteer Offence Declaration Form on an annual basis, at the beginning of the school year.
As a volunteer there is a cost to obtain your Police Vulnerable Sector Check. In order to receive a reduced cost, you will require a letter from Elmwood School stating that you are a volunteer. Please email tmackin@elmwood.ca to receive a pdf letter that you can attach to your application. The cost will be reimbursed by Elmwood School. Please provide a copy of the payment receipt to tmackin@elmwood.ca
If you have any questions about our process or our Volunteer Policy please contact Tanja Mackin, Director of Finance and Administration at 613.749.6761 extension 223 or tmackin@elmwood.ca.
